The services and programs that we offer promote the social and emotional wellbeing of our Chilliwack older adults and the caregivers of older adults.

HOURS: 16 hours weekly RATE OF PAY: $22.00/hour
Administrative Assistant Job in Brief
We are looking for a dedicated and passionate Administrative Assistant with strong skills in the use of Google G-Suite and/or Microsoft Office suite, to join our team.
The ideal candidate will be responsible for processing all general enquiries, for all the administrative duties in the delivery of the organization’s seniors’ program activities, and to provide support in maintaining social media updates.
This role requires a high level of organization, excellent communication skills, and the ability to work collaboratively with diverse groups of people. The Administrative Assistant will work closely with other staff members and community partners to ensure the successful execution of programs.
Key Duties and Responsibilities:
Under the guidance and supervision of the Program Coordinator of Seniors Activities or their designate, the key duties and responsibilities of the Administrative Assistant are:
1. Answer phone calls on general program or volunteer enquiries and relay the information to the designated Compassionate Neighbours’ responsible person for further follow-up. Maintain an accurate list of all enquiries received.
2. Initiate the intake process for new referrals to seniors’ program activities and plan the first visit to the desired program. Inform the Program Coordinator of all expected new attendees.
3. Maintain an accurate database of all program attendees for each grant received. Each database will include all the necessary information for fulfilling grant reporting requirements.
4. Process new attendee information cards for each program group and enter in the relevant databases and attendee lists. Store the cards as per protocol ensuring safety and confidentiality.
5. Prepare attendee lists and schedules for each event in a timely manner and send to the Program Coordinator.
6. Be responsible for organizing and booking older adult transportation for each event as per the prepared and reviewed protocol and communicating an accurate pick-up list for each program event.
7. Prepare seniors’ birthday recognition cards on a monthly basis.
8. Prepare the monthly Seniors’ Group Activity Calendar in a timely manner, at least one month in advance. This includes booking various monthly presentations, in collaboration with the Program Coordinator.
9. Prepare an announcement list as needed for each event.
10. Maintain a seniors’ group email account and share relevant information as directed.
11. For each program activity, ensure information obtained is processed and stored confidentially.
12. Assist in marketing programs, including preparation of brochures and community educational information.
13. Assist in the preparation of the Society’s quarterly newsletters, and the annual report.
14. Assist in social media postings and other social marketing efforts as required.
15. Participate in team and volunteer meetings and take and prepare minutes as required.
16. Prepare and update society policies and procedures as instructed.
17. Ensure all work performed aligns with the organization’s core values, mission, and goals.
18. Perform other related duties as required.
Qualifications:
• Excellent communication and public relations skills, both oral and written.
• Has a collaborative style of communication and is skilled in interacting with diverse people and groups.
• Demonstrates patience and caring when communicating with older adults.
• Proficiency in database management and Microsoft products.
• Proficiency in the use of Google G-Suite is an asset
• Must have a Class 5 or Class 7 Driver’s License and access to a vehicle.
Working Hours and Location: This is a part-time Administrative Assistant position of 16 hours/week divided into 4- four-hour weekdays. The programs take place in the Chilliwack area.
The opportunity for remote work is open for discussion as long as it takes place in the Chilliwack area. It will be dependent on whether this will be a contracted position or an employee position and can be discussed at time of interview.
